1. Who we are

Vision Telematics Limited (“Vision Telematics”, “we”, “us”) is the data controller for personal data collected through this website. We are registered in England & Wales, company number 15637894, with our registered office at 22 High Street, Epworth, Doncaster, England, DN9 1ET. 2. The information we collect

Enquiries. When you contact us by email or phone (including demo requests), we receive your name, contact details and any information you include about your fleet or requirements.
Partner portal accounts. For approved trade partners we hold a username, name, email address, company name and pricing tier, plus sign-in records.
Job applications. If you email us a CV, we hold the information it contains for recruitment purposes.
Technical data. Our web servers keep short-lived logs (IP address, browser type, pages requested) used for security monitoring and rate limiting.
Customer service data. Where we provide telematics services to a fleet operator, data generated by those services (such as vehicle location, video footage and driver events) is processed under our contract with that customer. The customer determines how that data is used; if you are a driver in a customer’s fleet, your employer’s privacy notice applies alongside this one.

3. How and why we use it

To respond to enquiries and provide quotes — legitimate interests / steps prior to a contract
To provide the partner portal and our telematics services — performance of a contract
To keep our website and services secure — legitimate interests
To consider job applications — steps prior to a contract / legitimate interests
To meet legal and accounting obligations — legal obligation

We do not sell personal data and we do not use it for automated decision-making that has legal or similarly significant effects.

4. Who we share it with

We share personal data only with service providers who help us run the business — such as cloud hosting providers, IT support and professional advisers — under contracts that protect it, and with authorities where the law requires. Where installation work is subcontracted, we share only the contact and site details needed to complete the job.

5. Where it is stored

Our website and services are hosted in the United Kingdom / European Economic Area. If any provider processes data outside the UK, we ensure an adequate level of protection through UK adequacy regulations or appropriate safeguards such as the International Data Transfer Agreement.

6. How long we keep it

Enquiries: up to 2 years after our last contact
Partner accounts: for the life of the partnership, then up to 6 years for accounting records
CVs of unsuccessful applicants: up to 12 months
Server logs: up to 90 days

7. Security

Data is encrypted in transit (HTTPS/TLS), access is restricted to those who need it, sign-ins are rate-limited, and passwords are stored only as salted hashes. We take regular backups and review our security measures as the business grows.

8. Your rights

Under UK GDPR you have the right to access, correct, delete or receive a copy of your personal data, to restrict or object to our processing of it, and to withdraw consent where processing is based on consent. To exercise any of these rights, email info@visiontelematics.com. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
