Telematics glossary: an A–Z of fleet, video and asset tracking terms

This industry runs on acronyms. A single quotation can contain MDR, ADAS, DMS, BSIS, CAN, FNOL and OTA before it gets to the price. Every one of the 129 terms below is written to be understood without prior knowledge — and where a term matters commercially or legally, we say why.

A

Accelerometer

A small sensor that measures changes in speed and direction — how hard a vehicle brakes, accelerates, corners or is struck. It is the component that decides “something just happened” and triggers a recording or an alert. Most harsh-driving and collision detection starts here.

Active safety

Technology that helps prevent a collision happening at all, such as automatic braking or a blind-spot warning. Contrast with passive safety (seatbelts, airbags, crumple zones), which reduces harm once a collision is already occurring.

ADAS Advanced Driver Assistance Systems

An umbrella term for systems that watch the road and help the driver: lane departure warning, forward collision warning, automatic emergency braking, adaptive cruise control, blind-spot detection and similar. On commercial vehicles ADAS is usually camera- and radar-based.

Why it matters: ADAS features are increasingly mandated on new vehicles, and insurers increasingly ask whether you have them.

AEB Autonomous Emergency Braking

The vehicle detects an imminent collision and applies the brakes itself if the driver does not react in time. Widely credited with substantial reductions in rear-end and pedestrian collisions.

AI in a fleet context Artificial Intelligence

Software that recognises patterns without being told exactly what to look for — for example, distinguishing a cyclist from a bin bag, or a phone held to an ear from a hand scratching a head. In practice, “AI” in this market usually means computer vision running on a camera or in the cloud, plus scoring and prioritisation of events.

Alert fatigue

What happens when a system generates so many notifications that people stop reading them. A serious and underestimated failure mode: an unfiltered system that flags every pothole as a “harsh event” quickly becomes an ignored system. Good configuration is as important as good hardware.

ANPR Automatic Number Plate Recognition

Software that reads vehicle registration plates from video. Used for site access control, yard management and, in some jurisdictions, enforcement. Note the privacy implications — number plates are personal data in many contexts.

API Application Programming Interface

A structured way for two software systems to exchange data automatically. If you want your vehicle data to flow into your job-scheduling, payroll, maintenance or business intelligence system without anyone re-keying it, you need an API.

Why it matters: “Does it integrate?” is really the question “is there a documented, supported API, and who pays to build the connection?”

Asset

Anything of value you want to keep track of. In this industry it usually means something that is not a driven road vehicle: a trailer, generator, excavator, welfare unit, skip, cage, tool, container, pump or traffic-management barrier.

Asset tracking

Knowing where your equipment is, whether it is being used, and being alerted if it moves when it should not. Delivered by attaching a small tracking device to the asset which reports its position to a central system.

Asset utilisation

The proportion of available time an asset is actually working. A generator that runs 12 hours a week is not earning its keep. Utilisation data is often the single largest source of savings in an asset tracking business case, because it tells you what to sell, what to redeploy and — crucially — what not to buy or hire next quarter.

AVL Automatic Vehicle Location

An older term for GPS vehicle tracking. Still used in public sector and emergency services tenders.

B

Battery-powered tracker

A tracking device with its own internal battery, used on assets that have no power supply of their own — trailers, plant attachments, containers, cabins. Battery life depends almost entirely on how often the device reports: a unit reporting once a day may last years; one reporting every two minutes may last weeks.

BLE Bluetooth Low Energy

A short-range, very low-power wireless technology. Used for small, cheap tags on low-value items (tools, PPE, small equipment). A BLE tag does not know where it is; it is “seen” by a nearby reader — typically a phone, a vehicle-mounted gateway or a site beacon — which reports the sighting. Gives you “last seen here, at this time” rather than live location.

Blind spot

An area around a vehicle the driver cannot see directly or via mirrors. On a large goods vehicle the nearside (kerbside) blind spot is where a disproportionate number of serious cyclist and pedestrian collisions occur.

Breadcrumb trail

The dotted route line on a map showing where a vehicle has been, built from a sequence of position reports. The gap between reports determines how accurate the line is — 30-second reporting produces a smooth, defensible trail; five-minute reporting produces a trail that cuts corners and can look wrong on a disputed job.

BSIS Blind Spot Information System

A system using sensors or cameras to detect a cyclist or pedestrian in the nearside blind spot and warn the driver. Defined technically under an international regulation and required as part of several vehicle safety schemes.

BSP Blind Spot Prevention / Protection

General term for the combination of mirrors, cameras, sensors and audible warnings fitted to reduce blind-spot risk on large vehicles.

CAN bus Controller Area Network

The internal data network of a modern vehicle — the “nervous system” that lets the engine, gearbox, brakes and dashboard talk to one another. A telematics device connected to the CAN bus can read genuine manufacturer data (fuel used, engine hours, fault codes, seatbelt status, PTO engagement) rather than estimating it.

Why it matters: CAN data is far more accurate than GPS-derived estimates, and it is what separates a basic tracker from a genuine fleet management device.

Camera Monitor System CMS

A camera and screen combination that replaces or supplements a mirror, giving the driver a clearer view of areas around the vehicle. Increasingly type-approved as a mirror replacement on new commercial vehicles.

Cellular connectivity

The mobile phone network (4G, 5G, and the low-power variants) used to send data from a vehicle or asset to the cloud. Everything else in this glossary depends on it. Coverage gaps are handled by storing data on the device and uploading later.

Chain of custody

The documented trail proving that a piece of evidence — typically video — has not been altered between the incident and the courtroom. If footage cannot be shown to be authentic and complete, its value in a disputed claim falls sharply.

CLOCS Construction Logistics and Community Safety

A UK industry standard for managing the road risk created by construction traffic. Frequently written into contracts by clients and principal contractors, meaning suppliers must meet it to win or keep work.

Cloud Cloud-hosted / SaaS

Software that runs on the provider’s servers and is accessed through a web browser or app, rather than installed on your own computers. You pay a subscription; updates, backups and security patching are the provider’s responsibility.

Coaching Driver coaching

The structured process of reviewing a driver’s events with them and agreeing what changes. It is the part of a safety programme that actually produces the improvement — the technology only finds the material. A system without a coaching process produces reports; a system with one produces fewer collisions.

Collision rather than “accident”

The preferred term across the road safety profession, and increasingly in official statistics and government communication. “Accident” implies unavoidable misfortune; “collision” reflects the evidence that most crashes have identifiable, preventable causes.

Continuous recording

Camera recording that runs all the time the vehicle is in use, with footage overwritten on a loop once storage is full. Contrast with event-triggered recording, which only saves clips around a detected incident.

Why it matters: Continuous recording gives you the footage you did not know you would need; it also raises legitimate privacy questions that must be addressed in policy.

Cost per mile Cost per kilometre

The total cost of running a vehicle divided by distance covered. A useful denominator for almost every fleet efficiency argument, because it normalises away differences in fleet size and workload.

CPC Driver Certificate of Professional Competence

The periodic training requirement for professional lorry, bus and coach drivers. Relevant here because telematics data is commonly used to target and evidence that training.

Crash-for-cash

Deliberately staged or induced collisions intended to generate fraudulent insurance claims. Commercial vehicles are targeted because they are insured, usually assumed to be at fault, and their drivers rarely have independent evidence. Forward-facing video is the standard defence.

Dashcam

A camera mounted in a vehicle that records the road ahead, and sometimes the cab interior. A connected dashcam also transmits footage and data over the mobile network; an unconnected one simply records to a memory card that someone has to physically retrieve.

Data controller / data processor

Under UK and EU data protection law, the controller decides why and how personal data is processed (usually the employer); the processor acts on the controller’s instructions (usually the technology provider).

Why it matters: The controller carries the legal accountability. Buying a system does not outsource your obligations.

Data retention period

How long you keep recorded data before deleting it. Keeping footage “just in case, forever” is both expensive and, where personal data is involved, difficult to justify. A defensible retention policy states a period, a reason and an automatic deletion process.

Deadhead Empty running

Distance travelled with no load or no productive purpose. One of the easier inefficiencies to spot with route and job data, and one of the more valuable to eliminate.

Digital tachograph

The device fitted to larger commercial vehicles that records driving time, breaks and rest periods to enforce drivers’ hours rules. Modern versions record position at intervals and can be checked remotely by enforcement authorities as the vehicle passes.

DMS Driver Monitoring System

An in-cab camera and software that watches the driver for signs of fatigue, distraction, phone use, smoking, or not wearing a seatbelt, and warns them in real time. The most contentious element of any video programme and the one that requires the most careful policy work and communication.

Downtime

Time a vehicle or asset is unavailable because it is broken, being repaired, or waiting for parts. Usually a much larger cost than the repair itself, because it disrupts jobs, forces hire replacements and burns planning time.

DPIA Data Protection Impact Assessment

A structured written assessment of the privacy risks of a processing activity, and how you will reduce them.

Why it matters: For driver behaviour monitoring, in-cab cameras and anything using analytics to make inferences about individuals, a DPIA is a legal requirement in the UK and EU, not a nice-to-have. It is also the single most useful document you can produce for handling driver and union concerns, because it forces you to write down what you will and will not do with the data.

Driver behaviour scoring

Turning raw events (speeding, harsh braking, cornering, idling, phone use) into a single comparable number or grade per driver. Useful for prioritising who to coach first. Dangerous if used punitively without context — a city multi-drop driver and a trunking driver cannot fairly be compared on the same scale.

Driver distraction

Anything that takes the driver’s eyes off the road, hands off the wheel or mind off the task. Consistently one of the largest contributory factors in commercial vehicle collisions, and the primary target of in-cab monitoring.

Driver ID

A way of identifying which driver is in which vehicle — usually a fob, card, PIN or app. Without it, in a shared-vehicle operation, all data is attributed to the vehicle and none of it can be fairly used for coaching.

Duty of care

The legal obligation on an employer to take reasonable steps to protect employees and others affected by their work — including people who drive for work and the road users around them.

Why it matters: An employer is expected to be able to demonstrate it managed the risk, not merely assert it. Records, not intentions, are what stand up.

DVIR Driver Vehicle Inspection Report

The formal record of a driver’s walkaround inspection, noting any defects. Increasingly completed on a phone or tablet, with photographs, and linked automatically to the maintenance system.

DVS Direct Vision Standard

A scheme rating how much a lorry driver can see directly through the cab windows, rather than via mirrors and cameras. Operates as a permit requirement for heavy goods vehicles in certain urban areas, with lower-rated vehicles required to fit a specified package of additional safety equipment to qualify.

Why it matters: It is a hard operational constraint — no permit, no access, and penalty charges for non-compliance.

Eco-driving

A driving style that minimises fuel or energy use: gentle acceleration, anticipation, early gear changes, reduced idling, steady speeds. Telematics makes it measurable, which is what makes it improvable.

Edge processing Edge AI

Analysis performed on the device inside the vehicle rather than in the cloud. The camera decides locally whether something is worth flagging and only uploads the relevant clip.

Why it matters: It dramatically reduces data costs, speeds up in-cab warnings to real time, and means the vast majority of footage never leaves the vehicle — a genuinely useful point in privacy discussions.

EDR Event Data Recorder

A vehicle system that captures a short burst of technical data around a serious collision — speed, braking, steering, seatbelt status. Sometimes described as the vehicle’s “black box”.

Electronic proof of delivery ePOD

Capturing signatures, photographs and delivery status on a mobile device instead of paper. Cuts disputes, speeds up invoicing and gives you a searchable record.

Engine hours

How long an engine has actually run, as distinct from distance travelled. The correct maintenance and utilisation metric for plant, generators and any machine that works while stationary.

Event

Anything the system decides is worth recording or flagging: a harsh brake, a detected collision, entry into a geofence, an overspeed, a panic button press, a distraction alert. The definition and sensitivity of events is configurable, and getting it right is the difference between useful and useless.

Exception reporting

Only showing the things that fall outside normal parameters, rather than everything. The practical answer to information overload: you do not want a report of 400 journeys, you want the six that went wrong.

Exoneration

Proving your driver was not at fault. Frequently the single largest and fastest-realised financial benefit of forward-facing video, because it converts a probable payout into a closed file.

False positive

An alert for something that did not actually happen — a “distraction” flag caused by sunglasses, a “harsh brake” caused by a speed bump. Every system produces some; the important questions are how many, whether the rate improves, and whether a human reviews events before they reach a driver’s record.

Firmware

The software embedded in a device. Needs periodic updating for security and functionality, which is why over-the-air update capability matters.

Fleet Management System FMS

The software platform that brings vehicle, driver, job and maintenance data together in one place. Sometimes used more narrowly to mean the standardised data interface fitted to commercial vehicles by manufacturers.

FNOL First Notification of Loss

The first report of an incident to an insurer or claims handler.

Why it matters: Speed is money. Automated FNOL — where a detected collision triggers an immediate notification with location, time, telematics data and video attached — is consistently one of the highest-value integrations available, because early, evidenced notification reduces claim severity, third-party capture and credit hire exposure.

FORS Fleet Operator Recognition Scheme

A voluntary UK accreditation scheme covering safety, efficiency and environmental performance for commercial vehicle operators. Widely specified as a contractual requirement by clients, particularly in construction and public sector work.

Fuel card integration

Matching fuel card transactions to vehicle position and tank data to spot mismatches — fuel bought when the vehicle was 30 miles away, or more litres purchased than the tank can hold.

Geofence

A virtual boundary drawn on a map — around a depot, customer site, restricted area or postcode. The system alerts you when something crosses it. The most useful and most under-used feature in the entire category: it turns raw location data into an actionable event.

GNSS Global Navigation Satellite System

The general term for satellite positioning systems, of which GPS is one. Modern devices use several constellations at once for better accuracy and faster fixes, particularly in cities.

GPS Global Positioning System

The satellite system most people mean when they say “tracking”. A receiver in the vehicle or asset works out its position from satellite signals; the device then transmits that position over the mobile network. GPS itself is free, passive and gives no information back to the satellite — the tracking happens in the transmission.

GPS drift Jitter

Small apparent movements reported by a stationary vehicle, caused by signal reflection off buildings or poor sky visibility. Well-configured systems filter it out; poorly configured ones generate phantom journeys.

GSR General Safety Regulation

European vehicle safety regulation introducing a phased set of mandatory driver assistance and safety technologies on new vehicles — including intelligent speed assistance, emergency braking, drowsiness warning, blind spot information and moving-off information systems. Applies at the point of vehicle type approval and manufacture rather than requiring retrofit to existing vehicles.

Harsh event Harsh braking / acceleration / cornering

A rate of change of speed or direction above a set threshold. A useful proxy for risky driving, but only if thresholds are set appropriately for the vehicle type — the same threshold on a laden tipper and an empty van will produce very different results.

HD / Full HD / 1080p

Video resolution. In practical terms, resolution determines whether you can read a number plate at distance. Higher resolution means larger files, more storage and more data cost, so most systems record at higher resolution locally and stream a lower-resolution version.

HGV / LGV Heavy Goods Vehicle / Large Goods Vehicle

A goods vehicle above the light commercial threshold, subject to additional licensing, drivers’ hours, tachograph and inspection requirements.

Hours of service Drivers’ hours

Rules limiting how long a driver may drive and requiring breaks and rest periods, designed to reduce fatigue-related collisions. Enforced via tachograph records.

Idling

Engine running while the vehicle is stationary and not doing productive work. Burns fuel, generates emissions, wears the engine and, in many places, breaches local air quality rules. One of the most straightforward savings to identify and one of the harder ones to sustain without driver engagement.

Immobilisation Remote immobilisation

The ability to prevent a vehicle or machine from being started remotely. Powerful for theft prevention and unauthorised use, and something to implement with great care — it must never be possible to immobilise a moving vehicle.

Incident reconstruction

Piecing together exactly what happened using video, speed, braking, steering and position data on a synchronised timeline. Turns “his word against ours” into a documented sequence.

Integration

Making two systems work together so data flows automatically. Typically the difference between a system people log into occasionally and a system embedded in daily work.

IoT Internet of Things

The general concept of everyday physical objects containing sensors and network connections. Asset tracking is one of the most commercially mature examples of IoT in practice.

ISA Intelligent Speed Assistance

A system that recognises the speed limit and warns the driver — or in some implementations gently resists further acceleration — when it is exceeded.

An international management system standard for road traffic safety. A structured framework an organisation can be certified against, useful for demonstrating a systematic approach to work-related road risk.

IVMS In-Vehicle Monitoring System

Term used mainly in energy, mining and international contracting for driver behaviour monitoring systems. Often written into contracts with prescriptive technical requirements.

Journey purpose Business / private

The classification of a trip.

Why it matters: Where employees are permitted to use vehicles privately, tracking during private use is very hard to justify legally. A privacy or private-mode switch that suppresses location detail outside working hours is the standard answer, and its absence is a genuine compliance problem rather than a preference.

KSI Killed or Seriously Injured

The road safety measure that counts the outcomes that actually matter. Government targets, local authority strategies and corporate safety objectives are increasingly framed in KSI terms rather than total collision counts.

LCV Light Commercial Vehicle

A van or small commercial vehicle below the heavy goods threshold. The fastest-growing part of most fleets and, historically, the least regulated — though that gap is narrowing.

Live streaming Live view

Watching a camera feed in near real time from the office. Genuinely valuable in a small number of situations — a security alert, an unfolding incident, a customer dispute in progress — and a poor substitute for good event detection in everyday use. It also consumes a lot of mobile data.

Load sensor

A sensor reporting whether a trailer, skip or container is loaded or empty, and sometimes by how much. Turns “where is it” into “where is it and is it earning”.

Lone worker protection

Features that protect staff working alone: panic buttons, check-in timers, automatic alerts if a vehicle is stationary and unresponsive. Frequently the feature that wins over a workforce that is sceptical about everything else.

LTE-M / NB-IoT

Low-power mobile network technologies designed for small devices sending small amounts of data. They allow trackers to run for years on a battery and to work in places where ordinary mobile signal is marginal, such as inside containers or in basements.

M

MDR / MDVR Mobile Digital (Video) Recorder

A ruggedised, multi-camera recorder built for vehicles. Where a dashcam typically handles one or two cameras, an MDR handles four, eight or more — front, nearside, offside, rear, interior, tail-lift, load area — and records them all in sync to internal storage.

Why it matters: For large or complex vehicles, single-camera coverage leaves exactly the areas where incidents happen unrecorded.

Mobile data allowance

The amount of data each device is permitted to use per month. Exceeding it either costs money or throttles the service. A significant hidden cost in video systems and a question worth asking early: what happens on a month when there are three incidents and forty footage requests?

MOIS Moving Off Information System

A system that detects a pedestrian or cyclist directly in front of a vehicle and warns the driver as it pulls away from rest. Addresses a specific and disproportionately fatal collision type.

Multi-tenanted platform Multi-company platform

Software architecture that lets one organisation see its own data while a parent group, hirer or client sees an appropriate subset. Essential for hire companies, contractors managing subcontractor fleets and group structures.

Near miss

An event that could have resulted in a collision but did not.

Why it matters: Near misses are far more numerous than collisions and carry the same lessons at none of the cost. A programme that only reviews collisions is learning from the smallest possible sample. Detecting and reviewing near misses is where proactive risk management actually happens.

Nearside / offside

The nearside is the side of the vehicle nearest the kerb; the offside is the side nearest the centre of the road. In a left-hand-drive vehicle these are reversed. Most vulnerable road user collisions involving large vehicles occur on the nearside.

OBD-II port On-Board Diagnostics

The standardised diagnostic socket found in most modern vehicles. A tracker can be plugged straight in — no installation cost, no downtime, and it can be moved between vehicles. The trade-offs: it is visible and easily unplugged, it may not deliver the full depth of data a hardwired installation provides, and on some vehicles it can interfere with other equipment.

Odometer reading

Total distance recorded by the vehicle. Reading it directly from the vehicle rather than estimating it from GPS makes mileage-based servicing and mileage claims accurate.

OTA updates Over-the-air

Updating device software remotely, without bringing the vehicle in.

Why it matters: Over a five-year contract, a system without OTA capability means either a fleet-wide workshop exercise every time something changes, or a fleet that quietly falls behind on security and functionality.

Open platform Open API

A system explicitly designed to exchange data with other systems and to accept hardware from multiple manufacturers. The commercial significance is leverage: it makes changing one component possible without replacing everything.

Panic button Duress alarm

A physical button that raises an immediate alert with location. Standard in passenger transport, lone working and high-value logistics.

Passive tracking

A device that records data locally and only uploads it when it reaches a network or is physically connected. Cheaper and lower-power than live tracking, but you find out what happened afterwards rather than as it happens.

Payback period

How long it takes for the savings from an investment to equal what it cost. The single most persuasive number in most business cases, because it is intuitive and hard to argue with.

PCN Penalty Charge Notice

A fine issued for a traffic or access contravention. Relevant because location, camera and permit data can both prevent them and provide grounds to challenge those wrongly issued.

PTO Power Take-Off

A mechanism that diverts engine power to operate auxiliary equipment — a tipper body, crane, mixer drum, refuse compactor or tail-lift.

Why it matters: PTO monitoring lets you separate productive stationary time from wasteful idling, which is otherwise almost impossible to distinguish. It also enables accurate job costing on work measured by machine time rather than distance.

Predictive maintenance

Using engine data, fault codes and usage patterns to service a vehicle or machine before it fails, rather than at a fixed interval or after a breakdown. Reduces roadside failures and extends component life, at the cost of requiring genuine data discipline to work.

Privacy mode

A function allowing location detail to be suppressed during permitted private use, while the vehicle remains protected against theft. In practice, the mechanism that makes lawful monitoring of a vehicle used privately possible at all.

Proportionality

The legal and ethical principle that a monitoring measure must be no more intrusive than is necessary to achieve a legitimate aim. It is the test regulators apply, and it is why “we record everything all the time because we can” is a weak position and “we record what we need, for a stated reason, for a stated period” is a strong one.

Q

Quality of fix

A measure of how reliable a reported GPS position is, based on how many satellites the receiver could see. Positions with a poor quality of fix should be treated cautiously in any dispute.

Real-time

In practice, “within a few seconds to a couple of minutes”, not literally instantaneous. Worth pinning down in a specification, because the difference between a 10-second and a 3-minute update matters enormously for some use cases and not at all for others.

Recovery Stolen asset recovery

Getting stolen equipment back. Tracking substantially improves the odds, particularly in the first hours, and the practical value is greater than the equipment’s replacement cost alone once hire replacement, project delay and insurance consequences are counted.

Reporting interval

How often a device sends its position. Drives accuracy, data cost and — on battery devices — how long it lasts. A single tracker configured at one-minute intervals can outlive one configured at ten-second intervals by a factor of ten.

SD card and why grade matters

The memory card storing video in a camera. Consumer-grade cards fail quickly under the constant rewriting and temperature extremes of a vehicle.

Why it matters: The most common cause of “we had cameras but there was no footage” is a failed card that nobody knew had failed. Industrial-grade cards and automated card-health monitoring are not an upsell; they are the difference between having evidence and not.

Any device that measures a physical condition — temperature, door open/closed, load, tyre pressure, humidity, fuel level, tilt. Sensors turn a location system into an operational one.

Service Level Agreement SLA

The contractual commitment on response times, uptime, support hours and fix times.

Why it matters: On a five-year video telematics contract, the SLA usually determines your actual experience far more than the hardware specification does. Ask what percentage of the fleet is expected to be recording correctly at any given time, and what happens if it is not.

SIM and roaming SIM

The mobile subscription in the device. A roaming or multi-network SIM can switch between networks to maintain coverage, which materially improves reliability in rural areas and for vehicles crossing borders.

Speeding Posted limit vs set limit

Two different measurements. Against the posted limit means the system knows the actual road speed limit and compares against it — accurate but dependent on map data quality. Against a set limit means a flat threshold across all roads — crude, but never wrong for the wrong reason. Most disputes about speeding reports come from confusing the two.

The insurer’s process of recovering costs from the party actually at fault. Good evidence accelerates it, which is why insurers value telematics and video data even when the policyholder is not at fault.

An alert when a device is unplugged, removed, obscured or its power is cut. Essential on both vehicle and asset devices — a tracker that can be silently disabled provides false assurance, which is worse than no assurance.
