What Is Telematics? A Plain-English Guide for Anyone Running Vehicles

Telematics explained without the jargon: what it is, how it works, what data it collects and what it actually changes for a working fleet.

If you have been sent a quotation full of acronyms and left none the wiser, this is for you.

Telematics is the practice of collecting information from a vehicle and sending it somewhere you can use it. That is the whole idea. The word is a compression of “telecommunications” and “informatics”, which tells you a great deal about the era it was coined in and almost nothing about what it does.

The useful definition is simpler: telematics is how you find out what your vehicles are doing without phoning someone to ask. If a term in this article is unfamiliar, the glossary defines it in one line.

Why the question keeps coming up

There are a lot of working vehicles to account for. Department for Transport vehicle licensing statistics for 2025, published in April 2026, counted 4.88 million licensed light goods vehicles and 520,000 licensed heavy goods vehicles on UK roads at the end of December 2025, out of 42.3 million licensed vehicles in total. Almost all of the vans and lorries in that count belong to an organisation that has to answer for them.

Answering for them is not only a paperwork exercise. The Department for Transport’s Reported Road Casualties Great Britain annual report for 2024, published in September 2025, recorded 1,602 deaths and 128,272 casualties of all severities in reported road collisions. Separately, the Health and Safety Executive’s provisional figures for 2025/26 record 126 workers killed in work-related incidents in Great Britain, of whom 24 were struck by a moving vehicle — the largest single cause after falls from a height.

Telematics does not fix any of that by itself. What it does is tell you what actually happened, which is the precondition for fixing anything. That is also why it sits at the centre of most driving-for-work duty-of-care programmes.

The four moving parts

A device in the vehicle. Roughly the size of a matchbox. It either plugs into the diagnostic socket under the dashboard or is wired in behind it. Inside are three things: a satellite positioning receiver, a motion sensor and a mobile network connection.

Data collection. Position comes from the satellite receiver. Movement, braking and impacts come from the motion sensor. And if the device is connected to the vehicle’s internal data network — the system the engine, brakes and dashboard use to talk to each other — it can read genuine manufacturer data: actual fuel used, engine hours, fault codes, seatbelt status, whether the tipper body is raised.

That last point matters more than it sounds. There is a substantial difference between a system that estimates fuel consumption from distance and driving style, and one that reads the figure the engine itself has calculated.

Transmission. The device sends data over the mobile network, continuously. Where there is no coverage it stores and forwards later, so the record is complete even when the live view is not.

Software. Maps, reports, alerts and — in the implementations that actually work — automatic notifications that appear in the systems your team already uses, rather than in yet another login nobody remembers. That is the difference between a fleet software platform people open every day and one they open in week one and never again.

Is telematics the same as vehicle tracking?

Vehicle tracking is the location part: a dot on a map, and a line showing where it has been. Telematics is the broader category that includes tracking plus everything else — driving style, fuel and energy use, idling, engine health, servicing, mileage capture, walkaround checks, driver identification.

Suppliers use the words interchangeably. When you are buying, ignore the terminology and ask what the system actually does. The buyers guide lists the questions worth asking before you sit through a demonstration.

What it typically collects

Location, speed and direction. Journey times, stops and routes. Harsh braking, acceleration and cornering. Speeding, either against a fixed threshold or the actual road limit. Idling. Engine hours and odometer. Fuel or energy consumption, and for electric vehicles, state of charge and battery health. Diagnostic fault codes. Who was driving, if driver identification is fitted. And the status of auxiliary equipment — tail-lifts, cranes, refrigeration, compactors. Where trailers, plant and unpowered equipment are involved, the same principle extends to asset tracking on battery-powered devices.

What it does not collect, unless you deliberately add it: audio, video, or anything about the driver as a person beyond how the vehicle was operated.

What changes when you have it

The honest answer is: nothing, unless you use it.

That sounds flippant. It is the most important thing in this article. Telematics is a measurement system, and measurement on its own has never saved anybody a penny. What saves money is the decision that follows the measurement — the route that gets resequenced, the driver who gets coached, the vehicle that gets serviced before it fails, the disputed claim that gets defended.

Two published figures show how much room there usually is between the measurement and the decision. On routing, the Department for Transport’s domestic road freight statistics for 2024, published in July 2025, record GB-registered heavy goods vehicles travelling 5,843 million kilometres while empty — 30% of all the vehicle kilometres they covered that year. Not all empty running is avoidable, and nobody should pretend otherwise; but you cannot begin the argument about which part is avoidable without a record of where the vehicles actually went.

On maintenance, DVSA’s commercial vehicle testing data puts the initial annual-test failure rate for heavy goods vehicles between 9.6% and 11.1% across the four quarters of 2024/25 — roughly one lorry in ten arriving at test in a condition that would not pass first time. Engine hours, odometer readings and fault codes pulled automatically are the difference between a service booked on evidence and one booked on a calendar.

Organisations that install devices and never look at the reports pay a subscription for a filing cabinet. Organisations that review weekly and act monthly get a return that is usually larger than they expected and faster than they were promised. The pattern holds whether you run road transport and logistics, construction and plant, or a handful of service vans.

What people find in the first month

Almost every operator discovers something in the first four weeks that they did not know and would not have believed. The recurring examples:

  • An hour of engine idling per vehicle per shift, invisible because nobody was counting
  • A vehicle doing several hundred unexplained miles a month
  • A route unchanged since a depot moved
  • Two vehicles passing each other daily on opposite journeys
  • A machine on hire for eleven weeks that finished its job in week four

None of these are dramatic. Collectively, in most operations, they are worth more than the system costs. We have deliberately not attached a percentage to that sentence: the honest position is that the size of the return depends entirely on what you find and what you then do about it.

The catch worth knowing about

Telematics involves monitoring people, which means data protection obligations, a lawful basis, transparency, and — for anything that assesses individual driver behaviour — a formal impact assessment. None of it is difficult. All of it is far easier to do before installation than after a grievance.

And the workforce reaction is not a detail. A programme introduced by announcement generates resistance that lasts for years. One introduced by consultation rarely does.
